GGA Steering Committee Member Guidelines and Duties

At the October 2002 GGA Event Cache Meeting a set of Guidelines and Duties were presented by the 2002 Steering Committee (SC).

***** ***** ***** ***** ***** ***** ***** *****

**GGA Steering Committee Member Guidelines and Duties**

Attributes

~ The candidate must have a willingness to work on administrative matters necessary to keep the GGA running as a service to its members, with members defined as people who participate in Geocaching in Georgia and have attended one of our meetings.

~ The candidate must have a willingness to operate in a management by consensus environment. This implies working with peer committee members to arrive at positions, approaches or answers that may not be the person’s individual preference, but that all committee members can support.

~ The candidate must have a willingness to strive for a balance between the preferences of the majority of members and the desires of the minority, thereby avoiding the “tyranny of the majority” syndrome. Examples may include:

** creating agendas with a mix of topics, such that both experienced Geocachers and novices will find something of interest

** scheduling meeting venues that balance the convenience of existing members with the goal of making our organization accessible to Geocachers outside the Atlanta metro area.

~ Candidates must enjoy working with people with diverse viewpoints and skill sets.

~ Candidates should have strong oral and/or written communication skills and/or the willingness to function with other committee members to modify and mold policy and procedures (i.e., the ability to let others be the spokespersons.)

~ Candidates should have a commitment to furthering the sport of Geocaching in Georgia and the willingness to devote time to various SC duties.

Duties

~ To ensure meeting locations are set and arrange for programming.

~ The candidate must be willing to answer inquiries from the general public about club activities, setting up a similar club in their area, etc....

~ The candidate must be willing to work with local, state and national representatives to assist in the explanation and promotion of Geocaching when needed.

~ Candidates help to develop policy and then work with the members to finalize said policy.

~ It should be noted that SC members meet from time to time outside of the regular meeting dates to discuss GGA business.

GGA Steering Committee Responsibilities

~ It is a three (3) YEAR commitment for their term in office.

~ The SC does not govern, but rather serves its members through a process of consensus. As an SC member you are no longer an individual but the voice of six. Comment appropriately in any forums remembering you are a voice of six.

~ Work with other SC members in a consensus format to resolve any issues or concerns.

~ Demonstrate a positive attitude at all times when representing GGA.

~ Take a level headed and natural approach to all issues that my arise.

~ Listen and respond to issues, ideas and suggestions of the membership and pass the information along to the SC as a whole for action.

~ You should attend as many GGA meeting as possible but a minimum of (6) per year is required.

~ You will be required to set up, hold and manage two (2) GGA meetings per year.

~ Monitor GGA Forums. Manage any inappropriate or out of control discussions. Delete/move any outside advertising.

~ Work with local, state and federal agencies and groups to promote the GGA and Geocaching.

~ Perform all duties that may be assigned to you. Examples incluce: keeping minutes of the GGA Meetings, record keeping, New Member Welcome Letter, assistance with the GGA Newsletter.

~ You may be asked to contribute cash to cover short falls in donations to cover items like meeting space rent, GGA Board expense, prize expense or other ad hoc expenses. The GGA tends to run a positive cash flow for the most part though.

~ Keep all SC members informed of your actions.

Don't say you can't, say you'll try.
